Admissions and Enrolment Policy

Purpose & Aims

LCTVE’s Admissions and Enrolment Policy sets out the means by which we will encourage and welcome applicants of all backgrounds to submit an application, and once an offer has been accepted the means by which we will ensure the students’ enrolment on a course is completed.

LCTVE is committed to ensuring that no student who has the potential to meet our entry requirements is discouraged from applying. All applications are processed on the basis of individual potential. We strive to achieve the following:

Admissions criteria and selection

Entry Requirements

The entry requirements for each course are set out on the College website in the courses section. They are reviewed in line with amendments made by the course awarding bodies.

We welcome applications from students who hold relevant qualifications. Qualifications from outside the UK are considered and compared to the UK’s qualification frameworks by referring to information and advice given by UK Naric.

English Language Ability

If a student’s first language is not English or the student is not a national of a majority English-speaking country (Antigua and Barbuda, Australia, the Bahamas, Barbados, Belize, Canada, Dominica, Grenada, Guyana, Jamaica, New Zealand, St Kitts and Nevis, St Lucia, St Vincent and the Grenadines, Trinidad and Tobago, the United States of America) we require applicants to be competent in the English language to a pre-defined standard. In such cases, students are expected to provide verifiable and recognised evidence to support their application and to demonstrate their suitability to undertake the course. The following standards are recommended:

IELTS 5.0 or equivalent – for qualifications below Level 6

IELTS 5.5 / 6.0 or equivalent – for qualifications at Level 6 or above

IELTS 4.0 or equivalent – for English language courses for Tier 4 visa applicants

Non-Tier 4 applicants (e.g. European applicants or Student Visitor / Extended Student Visitor

Visa applicants) who wish to study an English language course do not need to meet

minimum entry requirements to be accepted on such a course. However, the students’ level will be assessed by the College prior to enrolment to ensure that the student is placed into the level appropriate to their ability.

Suitability of Subjects for Entry

Whilst we generally consider a wide range of subjects as appropriate for entry to our courses, we may in some cases advise on preferences in respect of courses that we believe provide the best study and progression options for a student.

Holistic Assessment

We intend to evaluate all applications from a holistic point of view, which is reflected in the description of the course entry requirements. In addition to academic qualifications, we consider experience, skills, ability and motivation when we evaluate an application in line with the entry requirements for each course. We will do this by referring to references, the student’s personal statement and / or an interview with the student prior to deciding on an application.

Students with Special Considerations

Students with special considerations and needs (e.g. dyslexia) are signposted to external organisations which are able to provide support and advice in the required area.

Application Requirements

Applications can be made by post, online through the College website, by fax or in person.

All applicants are required to complete an application form (available from the download section on the College website or from the College reception) and to submit it together with the relevant supporting documents to:

Application forms must be accompanied by the following documents:

Copies of Transcripts/Certificates

Evidence of your English Language Proficiency (if applicable)

A passport sized Photograph

A Copy of the Details Page of your Passport

A Copy of your Residence Permit (if applicable)

2 Reference Letters (if relevant)

Evidence of Work Experience (if relevant)

Full translations of any documents not in English

(including confirmation from the translator that it is an accurate translation of the original documents, the date of the translation, the translator’s full name and signature, and the translator’s contact details)

Applicants might be asked to submit additional documentation after their initial admissions documentation has been reviewed.

Assessments of Students’ Suitability prior to Enrolment

Apart from an evaluation of the above listed application documentation by the College’s Admissions Committee, the students suitability for a course is determined through an enrolment interview which is conducted by an Admissions Officer prior to entry. A curriculum advisor may conduct the interview when particular curricular or special needs are identified.

Enrolment interviews can be conducted through the use of skype or face to face depending on the location of the student prior to enrolment.

Provision of Student Assessment Information to Teachers

We strive to inform our teachers / tutors of relevant information concerning the students’ backgrounds and needs, including their age, gender, nationality, prior achievement, initial assessment from the enrolment interview and special considerations / needs before the students start their course. The information is provided to the teachers by email and / or in team meetings.

Admissions and Enrolment Procedure

LCTVE operates a clearly defined admissions and enrolment procedure which outlines each stage of the admission process from application to registration and induction. It includes the various sources of applications (direct applicants, web applicants and applicants that are recruited by authorised college representatives). It also details the procedure when an application is considered as unsuccessful. Intakes & Deadlines

LCTVE operates a rolling admission process throughout the year, which means that there are no application deadlines as such. However, we do advise students to enroll for their course as soon as possible to allow sufficient time for their visa to be processed (if applicable) and to make the required preparations for the start of their course (e.g. booking flight tickets, arranging accommodation). The courses section on the College website provides information on any upcoming intakes and start dates.

Enrolment and Induction

Enrolment is mandatory for all students before they can begin their course and access the services and facilities of the College. Once a student has been accepted on a course, the student is required to complete an enrolment process which consists of the following:

Students are required to provide the College with the originals of the documents used to obtain the offer for verification purposes (including certificates and transcripts).

Students are required to provide the College with the original ID card / passport and visa document (if applicable) for verification purposes.

Students are advised to register with the police if they are new to the UK and their passport so indicates / students are asked to provide the College with the original police registration certificate for it to be photocopied and stored by the College.

The student will be seen by an admissions officer to clarify any support needs or questions the student may have. An enrolment interview may be conducted at this stage if this has not been done yet.

If the student is enrolled for an English language course and the student does not possess an officially recognised language test, the student’s current language ability will be assessed with the help of a quick placement test conducted by a qualified member of staff.

Once a student has provided the above listed documents and was seen by an admissions officer, the student will be issued with a College ID card and an enrolment letter. The student can now also request other verification letters from the

College for the purpose of registering with a GP or to open a bank account for example.

Each student will also receive a formal induction to the College. This may take place in the form of an induction session or in the form of a meeting with an admissions officer, should a student join as an individual which can be the case for English language students due to a very frequent enrolment intake. The induction covers three main areas:

Administrative Matters: enrolment, obtaining a student ID card, key contacts, attendance, immigration, regulations for visa nationals, computer rooms and internet use, procedures and policies such as complaints, disciplinary, appeal, equality policies, etc.

Course related Matters: course structure, timetable, registration with awarding bodies, exams and assignments, library services, obtaining certificates/transcripts, etc.

Student Welfare Matters: opening a bank account, health and safety, including fire emergency, procedures, first aid, local facilities and services, social, cultural and sporting events, GP (doctor)/dentist, registration, insurance, working, TV License, local places of worship, personal problems, etc.

The induction also comprises of a tour of the premises where the students have the opportunity to familiarise themselves with key contact points and the College’s facilities.

Students also receive an induction to MOODLE, the College’s 24/7 online learning resource, if relevant to their course.
